Right to erasure

We respect your right to control your personal data under Regulation (EU) 2016/679 (GDPR), including the right to erasure (“right to be forgotten”) — Art. 17. This page explains how to submit a request to ZORDON INTELLIGENCE Sp. z o.o..

2. Whose data this page covers
This procedure applies where ProperSend / ZORDON INTELLIGENCE is the controller, including:
- ProperSend waitlist signup;
- correspondence with us (contact form, email);
- ProperSend’s own marketing;
- website technical data (cookies — see /polityka-cookies).
3. Data in customer campaigns (important)
If you received a cold email sent by a customer using ProperSend, that customer is the controller; ProperSend is the processor.
Contact the sender directly (reply “STOP” or use the address in the email). ProperSend will erase data from infrastructure only on the customer’s documented instruction.

4. Data we may process
- email, name;
- company, VAT ID (if provided);
- correspondence;
- IP, user-agent;
- marketing consent status.
5. Legal bases and retention
- waitlist — consent; until withdrawal;
- contact — contract / LI; relationship + limitation period;
- marketing — consent or LI; until objection / withdrawal.

- rectification;
- erasure;

7. How to submit a request
Choose one method:
- Email privacy@propersend.pl with subject “GDPR request”.
- Use templates at /wzory-wnioskow.
- “Unsubscribe” link in ProperSend marketing emails.
8. Identity verification
We may ask for reasonable identity verification (e.g. reply from the same email address).
For companies: VAT ID + business email. We do not request excessive data.
9. Timelines
Erasure is free of charge.
- acknowledgement: within 3 business days;
- fulfilment: within 30 days (extendable to 60 days if complex);
- confirmation by email.
10. Exceptions
We may refuse erasure where GDPR exceptions apply, including:
- legal obligation;
- establishment, exercise, or defence of legal claims;
- freedom of expression;
- public interest archiving.
11. FAQ
Is erasure permanent? Yes from active systems. Backups may be overwritten per hosting retention cycles — no fixed deadline; we do not restore erased records from backups without legal review.
Can I cancel my request? Yes, until it is fulfilled.
Can I complain? Yes — to the Polish DPA (UODO) or your local authority.
