Lead Lists
What are Lead Lists?
Lists let you group leads into thematic collections for easier management and targeted campaigns. Examples: "Warsaw IT Companies," "Q2 Prospects," "After Meeting Follow-up," "E-commerce Leads." Lists are the foundation of segmentation — the key to running relevant, high-performing outreach.
When to use lists: You need to segment your lead database for different campaigns, keep track of leads at different stages, or organize leads by industry, region, or source. Instead of hand-picking leads every time, save them in a list and enroll the entire list into a campaign with one click.
Navigate to app.propersend.pl/crm → Lists to manage your lists. Lists are tightly integrated with the CRM and Campaigns modules.
Creating a List
- In CRM, click Lists in the side panel
- Click New List
- Provide the following:
- Name – clear, descriptive name (e.g., "Warsaw SaaS - June 2026")
- Description (optional) – notes on what this list is for
- Color – pick a color for visual identification
- Icon – choose an icon for quick recognition in the sidebar
- Click Create

Adding Leads to a List
- Individual – right-click on any lead in the CRM table → Add to List, or add from the lead's detail drawer
- Bulk – select multiple leads → Bulk Operations → Add to List — useful for adding all results from a Lead Finder purchase
- Automatic on import – during CSV import, specify a target list and all imported leads are automatically added
- Auto-add from Lead Finder – configure Lead Finder to add discovered leads directly to a specific list when creating a campaign
List Operations
- Browse and manage – view all leads in a list, add or remove individual leads
- Enroll all to campaign – add all leads in the list to a campaign with one click
- Export to CSV – download the list for external analysis or backup
- Transfer between lists – move leads from one list to another as they progress through your workflow
Enroll from List to Campaign
The most powerful list feature — add all leads from a list to a campaign in one click:
- Open the list
- Click Enroll to Campaign
- Select the campaign
- Optionally configure enrollment (e.g., only those with valid email, skip suppressed contacts)
Transfer Between Lists
Move leads between lists as they progress through your pipeline. For example: after a campaign targeting "Warsaw SaaS - June" ends, transfer respondents to "Hot Leads - Call Scheduled" and the rest to "Retry in 3 Months."
- Open the source list
- Select leads to transfer
- Click Transfer → choose the target list
List Statistics
Each list shows: lead count, last update date, and lead status breakdown (new, contacted, won, lost).
Color Coding and Icons
Assign colors and icons to lists for quick visual identification in the CRM sidebar. Good practice: red = high priority/hot leads, green = cold leads or nurture sequences, blue = follow-up, yellow = needs verification.
Best Practices
- Segment before the campaign – divide leads into lists before creating your campaign for precise targeting
- Use consistent naming – "Industry - Region - Purpose" makes it easy to navigate many lists
- Use colors meaningfully – red = priority, green = cold, blue = follow-up
- Clean regularly – remove leads that have been suppressed or are outdated
- Enroll from lists – instead of manually adding leads to campaigns, enroll entire lists
