Pipeline / Deals
Sales Pipeline
The Pipeline module provides a Kanban view for managing your sales deals. It connects directly to your CRM leads, so every deal is linked to a contact and its full interaction history.
When to use Pipeline: You've identified interested leads in your CRM and want to track the sales process from negotiation through closing. Use it to see the total value of all open deals, forecast revenue, and identify bottlenecks in your sales process.
Navigate to app.propersend.pl/pipeline to view and manage your deals. Drag and drop deals between columns to update their status.

Deal Types
| Type | Description | Example | |------|-------------|---------| | One-time | Single transaction | Implementation fee, consulting project | | Recurring | Recurring revenue (subscription) | Monthly SaaS subscription, retainer |
Tip: Use recurring deals for subscription-based services. ProperSend tracks MRR and total value separately, giving you a clearer picture of your recurring revenue stream.
Deal Statuses
| Status | Description | |--------|-------------| | OPEN | Deal is in progress — negotiation, proposal sent, or discussion ongoing | | WON | Deal successfully closed — lead became a client | | LOST | Deal failed — lead chose another option or decided not to proceed |
Kanban View
The pipeline displays as a Kanban board with columns matching deal statuses. Drag deals between columns to update status — faster than opening the edit panel.
- OPEN – all active deals with their values (total pipeline value)
- WON – closed-won deals (total revenue generated)
- LOST – lost deals (loss analysis — why did they choose otherwise?)
Pipeline Analytics
The pipeline view shows aggregate metrics that help assess sales health:
- Total open deal value – how much potential revenue is in the pipeline
- Win rate – percentage of deals that close successfully
- Average deal value – helps forecast revenue from new leads
- Average close time – how long deals take from open to won
Tip: Review these metrics weekly on the Dashboard. A low win rate may indicate poor lead qualification (use Lead Finder filters more aggressively). A long close time may mean your campaign sequences need more urgency. Configure win/lost reasons in Settings for better tracking.
Best Practices
- Link every deal to a lead – maintains full interaction history and context
- Always set a value – without it, the pipeline doesn't show true revenue picture
- Log LOST reasons – analysis of why deals are lost is key to improving your process
- Review pipeline weekly – catch stalled deals before they go cold
- Add notes to deals – notes from negotiations help your team pick up context
- Create tasks for key steps – e.g., "Prepare proposal for ABC" as a task
