Organization Settings

All organization-wide settings are available in a single panel. This is where you manage your team, subscription, billing, security, and account preferences. Configure notification channels and API keys from the same panel. Integrations like ElevenLabs and Telegram are also configured here.

Navigate to app.propersend.pl/settings to access all settings sections.

Team Management

Invite team members and assign roles to control access levels. Team members can share campaigns, CRM, and mailboxes.

User Roles

| Role | Permissions | Best For | |------|-------------|----------| | OWNER | Full access including org deletion and billing management | Founder, CEO | | ADMIN | Full access without org deletion permissions | Sales director, team lead | | MEMBER | Standard access — campaigns, CRM, mailboxes | SDRs, team members | | VIEWER | Read-only access — can view but not modify anything | Interns, external consultants |

Inviting Members

  1. Click Add Member
  2. Enter the team member's email address
  3. Select a role (see table above)
  4. Click Send Invitation — the member receives an activation link via email

Managing Members

  • Change role — promote MEMBER to ADMIN when they need more permissions
  • Remove from organization — when a member leaves the team
  • Suspend account — temporarily block access

Best Practice: Assign the OWNER role to only 1-2 people (typically founders or department heads). Use ADMIN for team leads and MEMBER for SDRs and marketers. VIEWER is useful for external consultants or stakeholders who only need to see results.

Plan & Billing

View your current plan, upgrade or downgrade, and manage your subscription.

Current Plan

Shows your plan name, price, renewal date, and resource usage.

Plan Changes

| Action | When It Takes Effect | Effect | |--------|---------------------|--------| | Upgrade | Instantly | Pro-rated difference charged | | Downgrade | Next billing cycle | Lower limits from new month | | Cancel | End of current period | Won't auto-renew | | Resume | Before period ends | Reactivates subscription |

Key details:

  • Payments processed via Stripe in PLN
  • Card types accepted: Visa, Mastercard (debit or credit)
  • Bank transfer available for Enterprise plans

Tip: Using integrations like ElevenLabs for voice calls may incur additional costs from third-party providers. Check your plan limits before adding multi-channel steps to your sequences.

Quota

Your plan determines usage limits across the platform:

| Limit | Description | How to Increase | |-------|-------------|-----------------| | Max campaigns | Maximum active campaigns | Upgrade plan | | Emails/day | Maximum emails per day | More domains or higher plan | | Max leads | Maximum leads in CRM | Upgrade plan | | Max mailboxes | Maximum mailboxes | Upgrade plan |

Profile

  • Avatar — profile picture (displayed in the app)
  • Position — job title (visible to your team)
  • Timezone — default timezone (default: Europe/Warsaw)
  • Language — interface language (PL or EN)

Credits

ProperSend uses a credit system for operations like contact purchases from Lead Finder and email verification:

| Type | Description | |------|-------------| | Subscription credits | Allocated monthly as part of your plan | | Purchased credits | Extra credits bought separately — these never expire | | Ledger | Full transaction history showing every credit earned and spent |

💡 Tip: Purchase extra credits before launching a large campaign to avoid interruptions. Subscription credits renew monthly, but purchased credits roll over indefinitely — buy in bulk for better per-credit rates. Credits are shared across your organization.

Security

Protect your account with these security features:

  • Password – change your password by providing your current password and a new one (min. 8 characters)
  • MFA (TOTP) – enable multi-factor authentication using Google Authenticator, Authy, 1Password, or any TOTP-compatible app
  • Recovery codes – when enabling MFA, download and store your recovery codes in a safe place. If you lose your authenticator device, these codes are the only way to regain access

⚠️ Important: Enable MFA if multiple team members have access to your organization. Store recovery codes offline (printed or in a password manager) — not on the same device as your authenticator app.

Account

  • Delete account – initiates a 30-day grace period. During this time, you can restore your account by logging in. After 30 days, all data is permanently deleted.
  • GDPR export – download all your data as JSON. Useful for data portability or compliance purposes.
