Onboarding – First Steps

Account Registration

  1. Go to app.propersend.pl/register
  2. Enter your email and create a password (min. 8 characters, 1 uppercase letter, 1 digit)
  3. Accept the terms and privacy policy
  4. Click Register

⚠️ Note: Check your inbox after registration — we'll send a verification email. Click the link to activate your account. If it doesn't arrive within 5 minutes, see the Email Verification section below.

Email Verification

The verification email usually arrives within a few minutes. If you don't see it:

  • Check your Spam / Junk folder
  • Use the Resend option on the login page
  • Add hello@propersend.pl to your safe senders list

Tip: If you still don't receive the email after trying these steps, try registering with a different email provider (Gmail, Outlook, or a business email) — some providers have stricter filtering for transactional emails.

Organization Setup

On first login, you'll be asked to configure your organization:

  1. Organization name – e.g., "My Company Inc."
  2. Select a plan – you can start with the free plan and upgrade later as your campaigns scale
  3. Add team members (optional) – send email invitations to collaborators. Team members can manage campaigns, view analytics, and handle leads depending on their role

💡 Tip: You can change your organization name and manage team members later in Settings.

Adding Your First Mailbox

Before sending your first email, you need to configure a sending mailbox. A mailbox is your outbound email account that ProperSend uses to send campaign messages:

  1. Go to Mailboxes
  2. Click Add Mailbox
  3. Select a provider from the presets or configure manually:
    • SMTP Host – e.g., smtp.gmail.com or smtp.yourdomain.com
    • Port – 465 (SSL) or 587 (TLS)
    • SMTP User – your full email address
    • SMTP Password – your email password or app-specific password
  4. Click Test Connection to verify credentials work
  5. If successful, click Save

💡 Tip: For Google Workspace and Microsoft 365, generate an App Password from your account security settings — don't use your main login password. This is more secure and avoids authentication issues.

Importing Your First Leads

ProperSend gives you several ways to build your lead database:

  1. Lead Finder – search companies from KRS/CEIDG with filters by city, industry, and registration date → go there
  2. CSV Import – upload your own list of contacts with custom fields → go there
  3. Manual Add – add leads one by one directly in the CRM

Best Practice: Start with Lead Finder to get verified, registry-sourced contacts. It ensures better data quality than scraped lists.

Creating Your First Campaign

Once you have a mailbox and leads, it's time for your first campaign:

  1. Go to Campaigns
  2. Click New Campaign
  3. Give it a name and select your sending mailbox from the dropdown
  4. Add your first EMAIL sequence step in the Sequence Editor
  5. Write a personalized message (e.g., Hi {{firstName}}!) using available personalization variables
  6. Set the sending schedule (hours, days, limits) — see Campaigns → Sending Limits for recommended starting values
  7. Click Save as Draft — the campaign is ready but not sending
  8. When ready to go live — click Launch

💡 Tip: Before launching a live campaign, use the preview feature to send a test email to yourself. This lets you verify formatting, personalization, and links before it reaches real prospects.
