Task Management

The Tasks module helps you and your team organize follow-ups, lead research, deal-related actions, and other sales activities. Each task has a status, priority, assignee, and due date — making it easy to track what needs to be done and by when. Tasks integrate with CRM, Calendar, and the Dashboard.

When to use tasks: You need to ensure no lead falls through the cracks — whether it's a follow-up call, a proposal deadline, or a research task before a meeting. Tasks replace sticky notes, spreadsheets, and scattered reminders with a single, organized system.

Navigate to app.propersend.pl/tasks to see all tasks. Tasks can also be created directly from a lead's detail view in the CRM.

Creating a Task

  1. Click New Task from the Tasks page or the lead drawer in CRM
  2. Fill in the details:
    • Title – clear, actionable description (e.g. "Send proposal to ABC Corp")
    • Description – additional context or instructions (e.g. phone number, preferred contact time)
    • Status – initial status (usually "Todo")
    • Priority – Low, Medium, or High
    • Assignee – team member responsible
    • Due date – deadline for completion
    • Lead association (optional) – link the task to a specific lead for context
  3. Click Create

Practical example: "Research {{companyName}} decision-makers for follow-up call" → assign to SDR, due before next campaign launch, linked to the lead record for easy access. Create it right from the lead drawer while the context is fresh.

Task Statuses

Tip: Use "Failed" instead of deleting tasks — this keeps an audit trail and helps you understand why certain leads didn't convert. You can review failed tasks weekly to refine your process.

Lead Association

Linked tasks appear in the lead's sidebar panel (lead drawer), in the CRM lead view, and are filterable by lead. This is especially useful for complex sales processes where multiple team members touch the same lead.

Example Workflow

  1. Lead replies to a campaign → you see it in Unibox
  2. You create a task "Send proposal to XYZ" with High priority
  3. Complete the task → create next task "Follow up via phone in 3 days"
  4. System reminds you via Notifications on the due date
  5. Lead progresses through the Pipeline

Reminders

Never miss a deadline. Set reminders for each task via email or Telegram:

  • Reminders are sent on the due date at 09:00 (configurable in Notifications)
  • You can choose to receive a reminder one day before, on the day, or both
  • Configure notification channels in Settings → Notifications

Best Practice: Set up Telegram reminders for urgent tasks — they're more immediate and harder to ignore than email notifications. The Telegram integration is free and takes 30 seconds to connect.

Best Practices

  1. Write specific titles — "Send proposal to ABC Corp" instead of "Proposal". Good titles explain who, what, and when.
  2. Always set a due date — tasks without deadlines are rarely completed. Even an approximate date helps.
  3. Link to leads — keeps context accessible and prevents duplicate work.
  4. Review daily — start each day by checking Tasks and prioritizing.
  5. Use Telegram reminders — the fastest channel for time-sensitive tasks.
