SMS Campaigns
SMS Provider Setup
ProperSend integrates with two SMS providers — Twilio (global) and SMS-Fly (Polish market, better rates for Polish numbers).
- Go to Integrations → SMS tab
- Select your provider (Twilio or SMS-Fly)
- Enter your API credentials (Account SID + Auth Token for Twilio, API key for SMS-Fly)
- Save — the system tests the connection automatically
When to use SMS campaigns: You're running multi-channel outreach and want to add a high-open-rate touchpoint. SMS works especially well for time-sensitive offers, event reminders, and as a final step before a voice call. Don't use SMS as first contact — it performs best as a follow-up after email in a multi-step sequence.
SMS in Campaign Sequences
Add SMS as a step in your campaign sequence alongside EMAIL and VOICE. This lets you build multi-channel outreach sequences in a single campaign:
- Maximum 160 characters per segment — messages longer than 160 chars are split into multiple segments (which increases cost)
- Supports
{{ }}personalization variables (e.g.,{{firstName}},{{companyName}}) from your CRM data - Can be combined with EMAIL and VOICE steps in a single sequence
Tip: SMS has a 98% open rate within 3 minutes of delivery. Use it strategically: for urgent meeting reminders, confirmation messages, or as the final touch in a sequence when email hasn't generated a reply. Don't overuse it — SMS feels more personal than email, so reserve it for meaningful touchpoints.
Multi-Channel Sequence Example
Day 1: EMAIL → first outreach
Day 3: EMAIL → follow-up #1
Day 7: EMAIL → follow-up #2 (case study)
Day 10: SMS → "Hi {{firstName}}, it's Jan from ProperSend. Sent a few emails —
maybe you'd prefer a quick call? Reply to this SMS and I'll call you."
Day 14: VOICE → AI voice bot with offer summary
SMS Statuses
| Status | Description | |--------|-------------| | Pending | Waiting to be sent | | Queued | With the provider, being processed | | Sent | Left our system | | Delivered | Reached the recipient's phone | | Undelivered | Delivery failed | | Failed | Technical error |
Daily/Monthly Limits
Configure per-campaign limits to control SMS spend:
- Daily limit – max SMS per day (prevents budget surprises)
- Monthly limit – max SMS per calendar month
- Min delay – minimum time between consecutive SMS sends (prevents rate-limiting by the provider)
Cost Management
SMS costs depend on your provider and destination country:
- SMS-Fly – billed in PLN, competitive rates for Polish numbers
- Twilio – billed in USD, better for international sending
Check your current credit balance in Settings. The system will alert you when credits are running low via notifications. Credits are shared across email verification and SMS sending — manage them in the Settings → Credits section.
SMS Statistics
Each campaign with SMS steps shows dedicated metrics:
| Metric | Description | |--------|-------------| | Sent | Total messages sent | | Delivered | Successfully delivered messages | | Undelivered | Failed deliveries | | Delivery rate | % of messages delivered | | Errors | Detailed error logs |
Tip: Monitor your SMS delivery rate. If it drops below 90%, check your provider configuration and account balance. Undelivered SMS often mean exhausted credits or a technical issue with the provider.
Best Practices
- Don't SMS as first contact – use it as a follow-up after establishing email contact
- Keep it short – 160 characters fits in one segment; longer messages cost more
- Personalize – use
{{firstName}}to make the message feel natural - Always identify yourself – start with "Hi {{firstName}}, this is Jan from ProperSend"
- Include a CTA – e.g., "Reply YES for a case study" makes it easy to respond
- Monitor costs – set daily and monthly limits to stay within budget
